Update your sample Metadata

What happens to my data after measurement?

After measurement, your data will be processed and made available to you through our secure portal. You will receive an email notification when your data is ready for download. The data remains exclusively available to you during an embargo period. After this period, FAIR data will be made available to our open-access database. If you selected the Proprietary Data option, your data will remain private indefinitely.

How will FAIR data be handled and what about the embargo period?

Under the FAIR data model, you have an exclusive embargo period of 2 years from the date the data are made available to you. During this time, the data are only accessible to you and your designated collaborators. This period gives you time to analyze the results and prepare publications before the data becomes available in our open-access database. Embargo periods may be extended if more time is needed, and researchers will be acknowledged for their contributions.

The embargo period for OSCARS/MatScatNet is 6 months. This can also still be extended if needed, but is generally shorter so that we can populate the database sooner. Users will still be acknowledged for the entries.

What data formats will I receive?

You will receive your data in standard formats that are compatible with common analysis software. For X-ray diffraction data, this typically includes:

  • Raw data files (.tiff or .h5 format)
  • Integrated diffraction patterns (.xye or .dat format)
  • If applicable, pair distribution function data
  • Metadata describing experimental conditions

All data come with detailed documentation to help you understand and work with the files.

Can I share my data with collaborators?

Yes, you can share your data with any designated colleagues and collaborators. Our portal allows you to grant access to specific collaborators while maintaining overall data security. Collaborators must make their own account in the portal (instructions here). Then their account can be added to your organization allowing them to view and download data (more detailed instructions here).

Please note that currently all users with access to an organization are considered ‘owners’ with full data access rights.

What if I need to keep my data confidential for commercial reasons?

If you require complete confidentiality for your data due to commercial sensitivity or intellectual property concerns, you should select our Proprietary data option when requesting measurements. This option ensures that your data will never be shared in our database or with uninvited third parties.

Can I request an extension to the embargo period?

In exceptional circumstances, extensions to the standard embargo period may be granted. Such requests must be submitted by email before the embargo period expires, with a clear justification for the extension. They will be considered on a case-by-cases basis. The best approach is to clarify desire for a longer embargo period when purchasing credits.

What metadata is stored with my measurements?

The metadata stored with your measurements includes:

  • Sample identification information
  • Measurement parameters (wavelength, temperature, etc.)
  • Instrument configuration
  • Date and time of measurement
  • Processing parameters
  • Any sample-specific conditions or notes

This comprehensive metadata ensures the reproducibility and scientific validity of your results.

Will my name be associated with the data in the public database?

Yes, when data are made available in our open-access database after the embargo period, it will include attribution to you as the data originator. This ensures you receive proper credit for your contribution to the scientific community. The database entry will typically include the names of the primary researchers, their institution, and a data identification number that can be cited by others who use your data.

Can I get a identification number for my dataset to cite in publications?

Yes, all datasets made available in our open-access database receive a data identification number and can be connected to any associated publications. This data identification number can be used to easily find your data, be cited in your publications and by others who use or refer to your data, ensuring proper attribution and increasing the visibility and impact of your research.

What happens if I publish my results before the embargo period ends?

If you publish results based on data obtained through our services before the embargo period ends, we request that you notify us about the publication. Once your work is published, the related data may be made available in our open-access database (if you selected the FAIR data option), as the primary purpose of the embargo period is to protect your right to first publication.

Update your sample Metadata

As you analyze your data, perform other measurements, and collate and publish results, please keep in mind to update the sample metadata in the app. This will ensure that the data remain as useful as possible in the database and have the best chance of being used and cited in other works.

How should acknowledgments be made in publications?

For our general users and customers, if data measured with us are used in a publication, please include the following acknowledgement:

"We acknowledge the European Synchrotron Radiation Facility (ESRF) for provision of synchrotron radiation facilities and Momentum Transfer for facilitating the measurements. Jakub Drnec is thanked for assistance and support in using beamline ID31. The measurement setup was developed with funding from the European Union's Horizon 2020 research and innovation program under the STREAMLINE project (grant agreement ID 870313)."

For participants of the OSCARS/MatScatNet project, please use the following:

"We acknowledge the European Synchrotron Radiation Facility (ESRF) for provision of synchrotron radiation facilities and Momentum Transfer for facilitating the measurements. Jakub Drnec is thanked for assistance and support in using beamline ID31. The measurement setup was developed with funding from the European Union's Horizon 2020 research and innovation program under the STREAMLINE project (grant agreement ID 870313). Measurements performed as part of the MatScatNet project were supported by OSCARS through the European Commission’s Horizon Europe Research and Innovation programme under grant agreement No. 101129751."
